Temporary Supervisor, Visitor Management & Screening (4 months contract)
The Visitor Management Services (VMS) Supervisor plays a key role in ensuring the smooth and effective delivery of hospital visitor management operations. Reporting to the Senior Manager, VMS, you will oversee daily operations at Visitor Registration Centres (VRCs), supervise outsourced Customer Service Officers (CSOs), and work closely with stakeholders to provide a safe and positive experience for patients, visitors, and staff.
Key Responsibilities
- Supervise and support outsourced CSOs to ensure compliance with MOH guidelines, hospital policies, and VMS procedures.
- Oversee daily operations across Visitor Registration Centres and ensure service standards are consistently maintained.
- Provide on-site guidance, coaching, and issue resolution support to frontline staff.
- Coordinate with wards, Security, Facilities Management, IT Support, and other stakeholders to ensure smooth operations.
- Manage service recovery and respond promptly to operational issues and escalated feedback.
- Maintain inventory and ensure operational readiness of supplies and equipment.
- Conduct basic troubleshooting of visitor management systems and coordinate with vendors and IT teams when required.
- Identify opportunities for process improvements and support departmental initiatives and projects.
- Participate in emergency planning, preparedness exercises, and operational activations when required.
- Participate in the review and update of Standard Operating Procedures (SOP) and Standard Work Instructions (SWI) to ensure documents are current.
Requirements
- Diploma, GCE A-Level, GCE O-Level, or equivalent qualification preferred.
- At least 3 years of relevant work experience.
- Supervisory, customer service, healthcare operations, or people management experience will be an advantage.
- Strong communication and interpersonal skills with the ability to engage effectively with staff, patients, and visitors.
- Customer-focused, with good problem-solving and conflict-resolution skills.
- Proficient in the use of computer systems and operational IT applications.
- Able to work independently in a fast-paced operational environment.
