Temp Senior Executive (Strategic Planning and Performance Management)
JOB SUMMARY
The Temporary Executive will support the TTSH Corporate Planning Department in the administration and coordination of key leadership and governance platforms, including the Senior Management Meeting (SMM) and the planning of the TTSH Leadership Retreat 2027. The role provides an opportunity to gain exposure to healthcare leadership, organisational planning, stakeholder engagement and management, and event coordination.
The Temporary Executive will provide administrative, secretariat, and logistical support to the Strategic Planning and Performance Management (SPPM) and Corporate Governance (CG) teams, ensuring the smooth coordination of departmental operations and strategic initiatives.
MAIN DUTIES AND RESPONSIBILITIES
1. Support Senior Management Meeting (SMM) Secretariat Functions
- Provide administrative and secretariat support for Senior Management Meetings (SMM) including but not limited to
- Drafting of minutes of meeting,
- Coordination of meeting schedules, invitations, attendance records, and meeting logistics,
- Consolidation of presentation materials and meeting papers from presenters,
- Assisting in the preparation, distribution, and archiving of meeting materials and records,
- Following up with stakeholders on action items and submissions to ensure timely completion, and
- Following up on outstanding matters where necessary.
2. Provide Administrative and Logistical Support to SPPM
- Support day-to-day administrative operations of the Strategic Planning and Performance Management (SPPM) team.
- Coordinate meetings, workshops, and stakeholder engagement sessions.
- Manage logistics arrangements, venue bookings, attendance tracking, and documentation.
- Assist with the preparation of reports, presentation slides, and administrative correspondence.
3. Support Planning and Coordination of TTSH Leadership Retreat 2027
- Assist in the planning, coordination, and execution of the TTSH Leadership Retreat 2027.
- Coordinate with internal and external stakeholders on event requirements and logistics.
- Support the development and consolidation of retreat materials, participant information, and programme documentation.
- Track project timelines, action items, and deliverables to ensure planning milestones are met.
- Provide onsite administrative and logistical support during retreat-related meetings, workshops, and events.
4. General Administrative Support
- Maintain proper records, filing systems, and documentation.
- Support ad-hoc projects and initiatives assigned by the department.
- Perform other administrative duties as assigned.
REQUIREMENTS
Qualifications
- Degree holder or fresh graduate from any discipline.
Skills and Competencies
- Strong written and verbal communication skills (English).
- Good organisational and coordination skills.
- Meticulous and able to manage multiple tasks concurrently.
- Proficient in Microsoft Office applications, including Word, PowerPoint, Excel, and any relevant AI-tools.
- Able to work independently while collaborating effectively with stakeholders across different departments.
- Comfortable working in a fast-paced environment and supporting senior management platforms.
