Group HR Shared Services (HRSS) plays a critical role in delivering efficient, accurate and employee-centric HR services across NHG institutions. Supporting the employee lifecycle from hiring to separation, HRSS partners stakeholders to provide seamless HR operations while driving service excellence and continuous improvement. We are looking for an experienced and customer-focused Senior Executive to join our In-Service Operations team to support HR operations and employee lifecycle services across NHG institutions.
Job Summary
The Senior Executive, Group HR Shared Services (HRSS), is responsible for delivering efficient, accurate and customer-centric HR services within the In-Service Operations team. The role supports a broad range of employee lifecycle transactions, including employee data management, leave administration, employment documentation and work pass administration, while ensuring compliance with organisational policies and regulatory requirements.
As a senior member of the team, the incumbent will serve as a Subject Matter Expert (SME) in assigned service areas, provide guidance to junior team members, manage complex cases and support continuous improvement initiatives to enhance service quality and operational effectiveness.
Key Responsibilities
HR Operations & Service Delivery
· Act as the first point of contact for HR Shared Services enquiries, providing timely, accurate and professional support to employees, Reporting Officers, HR Business Partners and external stakeholders.
· Administer a range of employee lifecycle services, including but not limited to leave administration, employee data management, contract administration and employment certifications.
· Process HR-related transactions and documentation accurately and within established service standards.
· Maintain and update employee records, documentation and HR systems to ensure data integrity, accuracy and compliance.
· Liaise with statutory agencies and regulatory authorities on the application, renewal and cancellation of work passes and employment-related matters.
· Monitor and ensure adherence to established Service Level Agreements (SLAs), Key Performance Indicators (KPIs) and operational targets.
· Deliver HR services in compliance with NHG policies, employment legislation and regulatory requirements.
Stakeholder Management & Operational Support
· Build and maintain effective working relationships with employees, Reporting Officers, HR Business Partners and external agencies.
· Provide guidance on HR Shared Services processes, policies and procedures to internal and external stakeholders.
· Manage and resolve enquiries, service issues and escalated cases in a timely and professional manner.
· Support on-site duties and employee-facing activities when required.
· Contribute to a positive employee experience through responsive and customer-centric service delivery
Subject Matter Expertise & Team Support
· Serve as a Subject Matter Expert (SME) in assigned HRSS service areas and provide guidance on operational policies, processes and complex cases.
· Mentor and support junior team members through knowledge sharing and operational guidance.
· Review and provide support for complex transactions and exception cases where required.
Continuous Improvement & Operational Support
· Actively participate in process improvement, standardisation and automation initiatives to enhance operational efficiency and service quality.
· Identify opportunities to streamline workflows, strengthen controls and improve stakeholder experience.
· Collaborate with HR Centres of Excellence (COEs), HR Business Partners and other HR teams to enhance end-to-end service delivery.
· Support organisational changes, system enhancements and transformation initiatives introduced within HR Shared Services.
· Assist in special HR projects and initiatives as assigned.
· Perform any other duties assigned by Management that are reasonable and necessary for the effective operation of the department.
Qualifications & Experience
· Education: Diploma in Human Resource Management, Business Administration or related discipline
· Minimum 3-5 years of relevant experience in HR Operations, HR Shared Services, employee lifecycle administration or customer service environments.
· Experience in healthcare HR operations, onboarding administration, work pass processing or licensure administration will be advantageous.
· Experience supporting high-volume transactional operations will be an advantage.
Skills & Knowledge:
· Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook.
· Experience with SAP SuccessFactors or other HR systems will be advantageous.
· Good understanding of HR operations, employee lifecycle processes and employment practices.
· Knowledge of Singapore employment regulations and work pass administration.
· Strong organisational, planning and coordination skills.
