Why This Role Matters

We are seeking a highly competent and experienced Executive Assistant to provide dedicated executive support to the Chief Human Resource Officer (CHRO) and targeted support to the HR leadership team in a fast‑paced and complex healthcare environment.

This role is designed for a mature professional who brings structure, precision and calm to senior leadership work. The successful candidate will demonstrate sound judgement, strong organisational discipline, and the ability to operate independently while managing multiple, time‑sensitive priorities with discretion and professionalism.

What You Will Drive

Executive & Leadership Support

  • Provide high‑quality, proactive and reliable executive support to the CHRO and, as required, the HR leadership team.
  • Anticipate needs, manage competing demands, and exercise sound judgement in prioritisation and escalation.
  • Act as a trusted gatekeeper, handling requests, information and access with discretion and professionalism.

Calendar, Meeting & Governance Support

  • Manage complex calendars, meetings, travel arrangements and related logistics with accuracy and attention to detail.
  • Prepare meeting agendas, briefing papers, presentations and accurate minutes to support governance and decision‑making.
  • Track decisions and action items, ensuring timely follow‑up and closure.

Stakeholder Coordination & Communication

  • Serve as a key liaison between senior leadership, internal teams and external stakeholders.
  • Support clear, professional and timely communication, including coordination of meetings, follow‑ups and documentation.
  • Build effective working relationships while maintaining appropriate professional boundaries.

Project, Committee & Priority Support

  • Provide structured administrative and coordination support for approved projects, committees and cross‑functional initiatives.
  • Monitor timelines, deliverables and dependencies, helping to bring clarity and structure in evolving workstreams.
  • Ensure actions are tracked through to completion.

Professional Standards & Confidentiality

  • Handle confidential, sensitive and complex information with the highest level of discretion, integrity and good judgement.
  • Produce clear, accurate and professional written communication, including emails, minutes and formal documents.
  • Represent the organisation and senior leadership with tact, professionalism and credibility at all times.

Systems, Tools & Continuous Improvement

  • Use digital tools and systems effectively to manage schedules, documents and workflows.
  • Maintain organised and accessible records.
  • Identify opportunities to improve administrative processes, efficiency and quality of executive support.

What You Bring

  • 8–12 years of experience supporting senior leaders in complex, fast‑paced and/or highly regulated environments.
  • Strong organisational and planning skills, with the ability to manage multiple priorities independently.
  • Demonstrated ability to produce high‑quality written work with strong attention to grammar, tone and accuracy.
  • High level of discretion, emotional intelligence and sound professional judgement.
  • A proactive, dependable working style with strong ownership and follow‑through.
  • Ability to operate effectively amid change and ambiguity, bringing structure where needed.
  • Proficiency in common productivity and collaboration tools (e.g. email, calendars, document preparation, presentations).
  • Professional maturity and confidence in supporting senior leadership.
  • Interest in contributing to meaningful work within a public healthcare setting.
  • Willingness to support time‑sensitive requests and occasional after‑hours demands associated with senior leadership roles.
