Senior / Patient Service Associate (Operating Theatre)

Main Duties & Responsibilities

 

Patient Operations & Service Coordination

  • Ensure accurate and timely patient registration, admission, transfer, and discharge by performing system entries in SAP, EMR, and related healthcare systems.
  • Provide professional payment processing and financial counselling for surgical procedures and services, supporting a smooth and transparent patient experience.
  • Coordinate outpatient appointment scheduling and inpatient bed bookings to support timely admissions and continuity of care.
  • Proactively contact patients prior to scheduled procedures to confirm admission timings and reinforce fasting and preparation instructions.
  • Organise and prioritise patient registration timings in alignment with operating theatre and procedural listings.

 

Clinical Support

  • Support Operating Theatre (OT) and Endoscopy (Endo) listings and daily operational services.
  • Prepare and print elective procedure listings for Nursing Teams to facilitate confirmation and workflow planning.
  • Retrieve and trace required patient records using Electronic Medical Record systems to support clinical decision-making and care delivery.
  • Attend to enquiries from internal and external stakeholders pertaining to theatre facilities and services with professionalism and efficiency.

 

Administrative, Logistics & Vendor Management

  • Provide comprehensive administrative support to ensure smooth day‑to‑day departmental operations.
  • Liaise with vendors and suppliers regarding the receipt of goods, invoicing, and supply coordination.
  • Order, monitor, and maintain dry rations, patient and next‑of‑kin supplies to ensure adequate stock levels.
  • Manage stationery, departmental supplies, pantry and catering needs, and locker administration.
  • Handle incoming and outgoing mails and correspondence in a timely and organised manner.

 

Collaboration & Teamwork

  • Work collaboratively with multidisciplinary healthcare teams and departments to support efficient operations and seamless patient care delivery.
  • Demonstrate flexibility and teamwork in a fast‑paced perioperative environment.
