By supporting learning operations, driving process improvements, and enabling innovation, your work plays an important role in shaping a capable, resilient, and continuously learning workforce within Woodlands Health.
What You Will Drive
1. Learning Management & Programme Operations
- Coordinate and manage the operational delivery of learning and development programmes, ensuring effective planning, execution, and administration.
- Work closely with Programme Leads to organise schedules, logistics, and resources for capability development programmes.
- Liaise with trainers, facilitators, vendors, and internal stakeholders to ensure smooth programme delivery.
- Manage programme registration systems, attendance tracking, participant communications, and course logistics.
- Support end‑to‑end administration of programmes, including pre‑course preparation, in‑class support, and post‑course activities such as feedback and evaluations.
2. Financial, Procurement & Administrative Support
- Process invoices and payments for training programmes in accordance with organisational policies.
- Support procurement activities, including sourcing quotations and coordinating vendor contracts.
- Monitor training budgets, track expenses, and provide summaries for reporting.
- Support payment processes such as vendor invoices and staff reimbursement for training activities.
3. Learning Records & Reporting
- Maintain accurate and comprehensive learning records for staff, including tracking attendance and cost centre utilisation.
- Prepare reports on programme participation, feedback, and budget utilisation.
- Support evaluation of programme effectiveness and identify opportunities for administrative improvements.
- Serve as a key point of contact for internal stakeholders regarding learning opportunities and related enquiries.
4. Process Improvement & Innovation
- Review and improve learning administration processes to enhance efficiency and effectiveness.
- Support the development and implementation of People Development policies, systems, and standard operating procedures.
- Design and manage tools such as digital forms and surveys (e.g. FormSG, SurveyMonkey) to support programme operations.
- Explore and implement technology‑enabled solutions to improve programme delivery and streamline workflows.
- Support adoption of learning platforms and digital tools, including evaluation and implementation of new systems.
- Contribute to automation initiatives and digital workflow enhancements.
5. Quality Assurance & Compliance
- Ensure compliance with Woodlands Health and NHG Health policies in all learning operations.
- Conduct quality checks on programme administration, documentation, and processes.
- Support audit preparation and compliance reporting for learning activities.
- Contribute to the development of quality standards and performance metrics for learning operations.
6. Cross‑Functional Collaboration
- Support departmental initiatives, projects, and organisational programmes involving internal and external stakeholders.
- Work closely with the P&OD team to contribute to cross‑team and organisation‑wide initiatives.
What You Bring
Education & Experience
- Diploma in Human Resources, Business Administration, or a related field.
- Minimum 3–4 years of relevant experience in administrative support, programme coordination, or learning and development operations.
- Experience within healthcare or a learning environment will be an advantage.
- Experience in coordinating training programmes, providing secretariat support, or driving process improvement initiatives is preferred.
- Exposure to budget monitoring, vendor management, and compliance processes is advantageous.
