Why This Role Matters
This is a 5-month temporary contract role supporting the People & Organisation Development (P&OD) team in delivering learning and capability development initiatives across Woodlands Hospital.
Developing a future-ready healthcare workforce requires effective learning operations, strong programme administration, and continuous improvement of learning systems. In this role, you will support the planning, coordination, and administration of learning and development programmes that enable staff to perform effectively, grow professionally, and build capabilities for the future of healthcare.
By supporting learning operations, digital solutions, and programme delivery, you will contribute to fostering a culture of continuous learning and organisational excellence across Woodlands Hospital
What You Will Drive
1. Learning Management & Programme Operations
- Coordinate and manage the operational aspects of learning and development programmes to ensure effective delivery and administration.
- Partner Learning Programme Leads to support programme planning, scheduling, and execution.
- Liaise with trainers, facilitators, vendors, and stakeholders to coordinate logistics, materials, and training resources.
- Manage programme registrations, attendance tracking, and participant communications.
- Coordinate pre-course, in-class, and post-course activities for both face-to-face and virtual learning programmes.
- Support post-programme evaluations, feedback collection, and virtual workshop administration.
2. Financial, Procurement & Administrative Support
- Process invoices and payments for learning and development programmes in accordance with organisational policies.
- Support procurement activities, including quotation management and vendor coordination.
- Monitor training budget utilisation and expenditure, providing regular reports and updates.
- Support vendor payment processing and staff reimbursement for training-related activities.
3. Learning Records & Reporting
- Maintain accurate and comprehensive learning records for staff and departmental cost centres.
- Prepare reports on programme attendance, feedback trends, and budget utilisation.
- Support evaluation of programme effectiveness and identify opportunities for administrative improvements.
- Serve as a point of contact for learning-related enquiries from internal stakeholders.
4. Process Improvement & Innovation
- Review and analyse learning administration processes to identify opportunities for improvement.
- Support the implementation and review of People Development policies, systems, guides, and procedures.
- Develop and maintain programme administration workflows and standard operating procedures.
- Create and manage digital forms and surveys using platforms such as FormSG and SurveyMonkey.
- Support the adoption of learning technologies and digital platforms to improve operational efficiency.
- Contribute to automation initiatives and digital workflow enhancements within learning operations.
5. Quality Assurance & Compliance
- Ensure compliance with Woodlands Health and NHG Health policies and procedures in all learning operations.
- Conduct quality checks on programme administration processes and documentation.
- Support audit preparation and compliance reporting for learning-related activities.
- Contribute to the development of quality standards and performance measures for learning operations.
6. Cross-Functional Collaboration
- Support departmental initiatives and projects involving internal and external stakeholders.
- Work closely with the P&OD team on cross-functional and organisation-wide projects.
- Perform additional duties assigned by supervisors in support of departmental and organisational objectives.
What You Bring
Education & Experience
- Diploma in Human Resources, Business Administration, or a related field.
- Minimum 3–4 years of experience in administrative support, programme coordination, or learning and development operations.
- Experience in healthcare, education, or learning environments will be advantageous.
- Experience in coordinating training programmes, secretariat functions, or process improvement initiatives is preferred.
- Exposure to budget monitoring, vendor management, and compliance processes is advantageous.
