Executive Assistant

The Executive Assistant will work as part of a team to provide comprehensive administrative and operational support to the Population Health Office. This role will support senior leadership and various functions within the office, contributing to the effective delivery of population health initiatives and strategic objectives.

 

MAJOR DUTIES AND RESPONSIBILITIES  

 

Executive Support

  • Provide direct administrative support to senior leadership including calendar management, meeting coordination, and correspondence handling
  • Prepare briefing materials and documentation for leadership meetings and strategic sessions

 

Administrative Coordination

  • Coordinate meetings, workshops, and stakeholder engagements across the office
  • Manage shared calendars, book meeting rooms and facilities, and prepare standard meeting agendas and minutes
  • Organise documentation and maintain filing systems across teams

 

Partnership and Stakeholder Support

  • Assist with coordination of partnership meetings and engagement events
  • Support maintenance of contact databases and administrative aspects of collaborations

 

General Administrative Support

  • Handle routine correspondence and communications
  • Process claims and administrative requests as required
  • Coordinate travel arrangements for team members
  • Support management of office inventories and logistics

 

 

JOB REQUIREMENTS

 

Education/Training/Experience 

 

  • Good Diploma in any discipline.
  • Having healthcare operations experience will be advantageous. 
  • Must possess strong administrative and project coordination skills. 
  • Detail-orientated with the ability to effectively manage multiple tasks simultaneously.
  • Strong communication and interpersonal skills. 
  • Proficient in various computer applications, including Microsoft Word, Excel & PowerPoint, Video Conferencing Software (e.g. Teams, Zoom)
