About the PrepVax Programme

PrepVax is a national pandemic preparedness programme that aims to draw on the vaccine development capabilities across the public and private sectors. This will be done through various activities such as the conduct of PrepVax vaccine development projects, talent development activities and enhancement of other local capabilities.

 

Job Summary

The Assistant Manager will be providing administrative support to the programme as well as assisting in project management and stakeholder coordination. The Assistant Manager will also contribute to the planning, implementation and monitoring of various aspects of PrepVax work.

 

 

MAIN DUTIES AND RESPONSIBILITIES

 

The Assistant Manager will:

  • Provide administrative support to the Leadership Team. Your responsibilities include managing PrepVax leadership calendars and overseas travel coordination.
  • Support the planning, coordination and delivery of the Talent Development Programme (Vaccine Development) (TDP). This comprises a PrepVax Expert Series virtual seminar series and in-person training activities such as the Basic Vaccinology Course. Your responsibilities include logistical and administrative support such as tracking trainee participation, progress and programme completion; developing programme communications and publicity materials (e.g., EDMs, registration and attendance forms); coordinating event logistics with venues, caterers and other service providers; serving as the primary point of contact for training events; coordinating scheduling and logistics for Vaccine Development Dialogue sessions hosted by partner research institutions; and arranging one-to-one engagements between TDP trainees and PrepVax leadership. You would collect, analyse and synthesise trainee feedback and programme outcomes to evaluate effectiveness, identify learning needs and suggest improvements for subsequent cohorts. The role will work closely with internal and external stakeholders to ensure the smooth execution of programme activities.
  • Assist in the coordination of the relevant parties to accomplish the required activities under PrepVax. These include collaborators, funding agencies, regulators, academia, and biomedical industry partners, from local as well as overseas institutions and agencies;
  • Provide secretariat support for meetings and events, including coordinating between multiple parties, planning, preparing and clearing meeting agenda and presentation materials, taking/vetting minutes, and others.
  • Support the planning and implementation of PrepVax’s different workstreams.
  • Undertake administrative duties such as the monitoring and processing of invoice payments, claims, procurement.

 

GENERAL 

  • Propose and implement quality improvement initiatives and work process enhancements to strengthen programme delivery and operational efficiency.

JOB REQUIREMENTS

 

EDUCATION, TRAINING AND EXPERIENCE

 

  • Minimum Bachelor’s Degree in preferably public health, microbiology, epidemiology, biostatistics, life sciences, biological, biomedical or chemical sciences, or a related discipline. Background in vaccine development or related fields such as immunology or virology will be advantageous.
  • 3 to 5 years of relevant experience ideally in a research, healthcare or public health-related environment
  • Experience in handling procurement, payment, and claim will be advantageous
  • Familiar with Ariba, epay, VIMS system will be advantageous
  • Experience in managing NMRC-awarded grants will be advantageous
  • Demonstrated experience managing and executing projects independently will be advantageous
  • Excellent written and oral communication skills
  • Strong experience in secretariat support
  • Flexibility and ability to work in a fast-paced and fluid working environment, with an ability to engage effectively with all levels of seniority
  • Meticulous, detail-oriented and responsible
  • Independent, organized and self-driven
  • Excellent interpersonal skills, pleasant personality with positive working and learning attitude
