Asst Manager
JOB SUMMARY
The Assistant Manager / Senior Executive will be under Department of Research Office from National Centre for Infectious Diseases (NCID). The Assistant Manager / Senior Executive will be carrying out a variety of research administrative functions to support the Tripartite Programme, a joint initiative, by National Health Group (NHG), Agency for Science, Technology and Research (A*STAR) and National Technological University’s Lee Kong Chian School of Medicine (LKCMedicine) in infectious diseases research.
MAIN DUTIES AND RESPONSIBILITIES
SPECIFIC
The Assistant Manager / Senior Executive will:
- Assist with pre- and post-award research grant administration activities, including the administration of grant calls, support for grant application submissions and review processes, organisation of review panel meetings, award processing, post-award grant requests, and grant closure activities.
- Facilitate procurement and purchasing activities, processing of claims and reimbursements, closure of completed research projects, and reporting of project outcomes to stakeholders.
- Monitor grant budgets, expenditures, and utilisation to ensure compliance with funding requirements and institutional policies.
- Coordinate, review, track, and facilitate the timely execution of research-related agreements, including research collaboration agreements, funding agreements, confidentiality agreements, material transfer agreements, and other project-related contracts.
- Support the drafting, review, negotiation, and administration of research project agreements in collaboration with Principal Investigators, research offices, finance, legal teams, and external stakeholders.
- Maintain proper records and safekeeping of all research agreements and related documents, ensuring accurate documentation, version control, and compliance with institutional requirements.
- Monitor and follow up on contractual obligations, key milestones, deliverables, reporting requirements, invoice submissions, payments, renewals, amendments, and agreement closure activities to ensure timely fulfilment of commitments by all parties.
- Work closely with various stakeholders, including Principal Investigators, A*STAR, LKCMedicine, institutional research offices, legal, procurement, and finance teams, to coordinate meetings, drive alignment, and support effective collaboration.
- Monitor and track research progress, grant deliverables, contractual milestones, and KPIs for all grants and projects under the Tripartite Programme.
- Review, streamline, and enhance research administration processes, workflows, and governance frameworks to improve operational efficiency and support the successful delivery of Tripartite Programme research initiatives.
- Provide administrative and operational support for research-related meetings, events, audits, reviews, and other activities organised under the Tripartite Programme.

JOB REQUIREMENTS
A) EDUCATION AND EXPERIENCE
- Bachelor’s Degree in Biomedical Sciences, Life Sciences, Healthcare, Business, or a related field, with at least 2–3 years of relevant experience.
- Experience in research grants administration and project management, preferably within a healthcare or research environment.
- Experience in managing research agreements and contracts, including coordination, tracking, and documentation.
- Familiarity with Singapore’s biomedical research ecosystem and stakeholder landscape.
- Strong written and verbal communication skills, with the ability to manage multiple priorities concurrently.
- Meticulous, organised, and detail-oriented, with strong administrative and documentation skills.
- Proactive team player with good problem-solving, interpersonal, and stakeholder management skills.
- Able to work independently and effectively in a fast-paced environment.
- Proficient in Microsoft Office applications; experience with research administration or contract management systems is an advantage.
