Overview
You will be an integral part of the Infectious Diseases (ID) Academic Clinical Programme (ACP), which is part of the NHG Health–LKCMedicine–NTU Academic Health System (AHS) and is hosted at Tan Tock Seng Hospital (TTSH) and National Centre for Infectious Diseases (NCID). The ACP Administrator will be responsible for providing comprehensive administrative support to the ID ACP. This role serves as the operational backbone of the ACP, ensuring seamless coordination between clinical, research, and educational activities whilst maintaining compliance with institutional policies and procedures.
Some of the Key Responsibilities Include
- Administrative support in annual workplan formulation, budget planning, budget utilisation and expense claims by the ID ACP Chair and Vice-Chairs.
- Work closely with Academic Partnership Office (APO) on the timely submission of annual workplans and budget submission.
- Collation and tracking of performance indicators of ACP deliverables for reporting.
- Assist ACP Chair in preparing reports of financial statements and milestones for AHS Management Committee review and endorsement.
- Assist mid-level staff in preparing reports of research and education programmes for the AHS Steering Committee review.
- Support ACP in organising ACP-specific communications, engagement activities, outreach events and conferences, including post-graduate programmes and events for education, collaborations and outreach. Work with NHG Health and LKCMedicine Finance, HR, Research and Education Offices to ensure compliance with policies.
- Work with APO and other ACPs on AHS-related communications and engagement activities (such as joint event/booth that showcases AHS and ACPs, content contributions to social media posts or media pitch or media release)
- Work with APO and LKCMedicine Office of Faculty Affairs to administer ACP joint and adjunct faculty appointments and reappointments.
- Ensure that all activities organised by ACP are conducted in accordance with LKCMedicine and NHG Health’s policies.
- Support the preparation and submission of grant applications, including NMRC centre grants and collaborative grants, while managing ongoing grant administration activities to ensure compliance with funding requirements and reporting obligations.
- Provide secretariat support for all ACP-related meetings and events.
- Assist in any fund-raising efforts related with the ACP
- General administration and implementation of a variety of projects assigned to the department from time to time.
Job Requirement
- Bachelor’s degree in life sciences, public health, business, economics, social sciences or healthcare administration.
- 2 to 4 years of working experience in a healthcare or education setting would be advantageous.
- Prior working experience with academic faculty would be advantageous. Strong analytical and quantitative skills
- Good interpersonal and communication skills (oral and written).
- Resourceful and proactive team player, with a positive attitude and a keenness to learn and grow.
- Meticulous, well-organised and able to multitask efficiently
- Good organisational, stakeholder and project management skills
- Highly proficient in Microsoft Office applications
