Asst Manager, RAI ACP (2-year Contract)
You will be an integral part of the Rheumatology, Allergy and Immunology (RAI) Academic Clinical Program (ACP), which is part of the NHG Health–LKCMedicine–NTU Academic Health System (AHS) and is hosted at Tan Tock Seng Hospital (TTSH). The ACP Administrator will be responsible for providing comprehensive administrative support to the RAI ACP. This role serves as the operational backbone of the ACP, ensuring seamless coordination between clinical, research, and educational activities whilst maintaining compliance with institutional policies and procedures.
Some of the Key Responsibilities Include
- Administrative support in annual workplan formulation by the RAI ACP Chair and Vice-Chairs.
- Prepare annual ACP budget requests according to workplans.
- Liaise with the Academic Partnership Office (APO) to ensure timely submissions of annual workplans and budget requests.
- Collating, tracking and presenting performance indicators of ACP deliverables at regular intervals.
- Assist ACP Chair in preparing reports of financial statements, progress reports and milestones for AHS Management Committee review and endorsement.
- Assist mid-level staff in preparing reports of research and education programmes for the AHS Steering Committee review.
- Work with NHG Health and LKCMedicine Finance, HR, Research and Education Offices to ensure compliance with policies.
- Secretariat support for all ACP-related meetings and events.
- Support ACP in organising ACP-specific communications, engagement activities, outreach events and medical conferences
- Ensure that ad hoc activities in ACP are conducted in accordance with LKCMedicine and NHG Health’s policies.
- Work with LKCMedicine Office of Faculty Affairs to administer ACP joint and adjunct faculty appointments and reappointments.
- Support the ACP in coordinating programme-specific communications, engagement initiatives, outreach activities, and medical conferences.
- Provide research administrative support, e.g. IRB submissions, regulatory documentation, and compliance processes.
- Oversee research laboratory administration such as coordinating lab operations, maintaining documentation and inventory, and ensuring compliance with institutional and safety guidelines.
Job Requirement
- Degree in any discipline.
- 2 to 4 years of working experience in a healthcare or education setting would be advantageous.
- Prior working experience with academic faculty would be advantageous.
- Prior laboratory management (especially immunology and/or molecular lab) experience would be advantageous.
- Proficient in managing projects and different stakeholders
- Problem-solving skills and the ability to analyse and convey complex information.
- Good interpersonal and communication skills (oral and written).
- Meticulous, well-organised and able to multitask efficiently.
- Resourceful and proactive team player, with a positive attitude and a keenness to learn and grow.
- Proficient in Microsoft Office applications.
