Group HR Shared Services (HRSS) plays a critical role in delivering efficient, accurate and employee-centric HR services across NHG institutions. Supporting the employee lifecycle from hiring to separation, HRSS partners stakeholders to provide seamless HR operations while driving service excellence and continuous improvement. We are looking for a proactive and customer-focused Associate Executive to join our Pre & On-Boarding team and support the recruitment and onboarding of healthcare professionals across NHG institutions

 

 

Job Summary

The Associate Executive, Group HR Shared Services (HRSS), provides operational support for end-to-end Pre & On-Boarding activities to ensure a smooth and positive experience for new hires joining NHG.

 

The role works closely with recruitment agencies, hiring institutions, regulatory bodies and new hires to coordinate onboarding requirements, licensure applications, work pass administration and pre-employment activities. The incumbent will ensure timely, accurate and compliant processing of onboarding transactions while delivering a high level of service to both internal and external

 

 

Key Responsibilities

Pre & On-boarding Operations

         Provide operational support for the recruitment onboarding of healthcare professionals across NHG institutions.

         Coordinate with recruitment agencies to obtain required documentation and onboarding paperwork.

         Facilitate pre-employment activities including document verification, medical examinations and completion of onboarding requirements.

        Prepare employment-related documentation, including appointment letters, employment contracts and onboarding documents.

        Create and maintain employee records within HR systems and databases.

         Track onboarding milestones and ensure timely completion of all onboarding activities.

         Support new hires throughout their onboarding journey and provide guidance on required processes and documentation.

 

Work Pass & Professional Licence Administration

         Coordinate applications, renewals and cancellations of work passes where applicable.

         Support healthcare professionals in obtaining professional registrations and licences with relevant regulatory bodies, including the Singapore Nursing Board and other professional licensing authorities.

         Liaise with relevant agencies and stakeholders to ensure timely completion of licensure and credentialing requirements.

         Monitor application progress and follow up on outstanding submissions.

 

HR Operations & Service Delivery

  • Act as the first point of contact for HRSS enquiries related to Pre & On-Boarding activities.
  • Provide timely and professional support to employees, hiring managers, HR Business Partners and external stakeholders.
  • Ensure HR transactions are processed accurately and within established service standards.
  • Maintain confidentiality, data accuracy and compliance with organisational policies and regulatory requirements.

 

Continuous Improvement & Operational Support

  • Participate in process improvement initiatives to enhance onboarding efficiency and employee experience.
  • Support HRSS projects, service enhancement initiatives and system implementation activities as assigned.
  • Contribute to the maintenance and continuous improvement of Standard Operating Procedures (SOPs) and work instructions.
  • Support operational coverage during peak periods and team contingencies

 

Qualifications & Experience

  • Education: Diploma in Human Resource Management, Business Administration or related discipline
  • Prior HR administration, HR operations, shared services or customer service experience preferred. 
  • Experience in healthcare HR operations, onboarding administration, work pass processing or licensure administration will be advantageous.
  • Experience supporting high-volume transactional operations will be an advantage.

Skills & Knowledge:

  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook.
  • Experience with SAP SuccessFactors or other HR systems will be advantageous.
  • Basic knowledge of Singapore employment regulations and work pass administration.
  • Strong administrative, coordination and organisational skills.
