JOB SUMMARY

The Associate Executive will provide day-to-day administrative and operational support to the IGA leadership as well as the administrative & research management team.


MAIN DUTIES AND RESPONSIBILITIES

  • Coordinate departmental meetings for various stakeholders, including availability checking, venuebooking and setup, calendar invites and meeting reminders.
  • Keep track of institute’s collaterals and resources such as bag, pen and educational materials.
  • Coordinate and manage departmental admin matters such as procuring supplies, processing claims, submitting IT job requests, retrieving IGA mails, maintaining proper archiving of softwareand assets.
  • Assist the admin team in IGA pillars of work – Research & Innovation, Education & Learning, and Translation & Practice.
  • Coordinate and provide admin support for workshops, events and continuing professional education sessions, such as arranging of speakers, venue booking and setup, refreshment coordination, arranging workshop materials and slides, registration management, payment collection and data entry.
  • Update CME/CNE/CPE points for doctors, nurses and/or other healthcare professionals attending IGA’s learning sessions.
  • Provide admin support to research team such as preparing print jobs for projects, purchasing refreshments for research participants and managing research room bookings.
  • Assist clinicians in printing and collecting posters for local and overseas conferences.
  • Provide support for institute projects such as maintaining proper archival of documents and processing claims.
  • Provide operational support to IGA and GRM outreach events.

  • Perform other duties as may be assigned.
  • Support the institute in ad-hoc projects.
