Why This Role Matters

We are seeking an Associate Executive to support the effective operations of the Simulation and Clinical Training Centre (SCTC) and Surgical Skills Lab (SSL).

This is a hands-on operational role that is central to delivering high-quality simulation and surgical skills training. Working closely with clinical leads, educators, vendors, and internal stakeholders, you will ensure training facilities, simulation equipment, and biological specimens are appropriately managed and maintained to support a safe, efficient, and conducive learning environment for healthcare professionals and trainees.

Your contributions will directly support workforce training, skills development, and clinical excellence within Woodlands Hospital.

Key Responsibilities

Support Simulation Equipment & Technical Operations

  • Manage the day-to-day operation, maintenance, and troubleshooting of simulation and training equipment, including high-fidelity patient simulators, task trainers, audiovisual systems, and other educational technologies.
  • Conduct routine equipment inspections and functionality checks to ensure operational readiness.
  • Coordinate with vendors, engineering teams, and relevant stakeholders to address equipment issues and minimise disruptions to training activities.
  • Monitor equipment performance and maintenance schedules to ensure optimal functionality and reliability.
  • Support equipment calibration and readiness requirements for simulation programmes and training sessions.

Enable Training Facility Readiness

  • Prepare simulation rooms, training laboratories, and learning spaces to support workshops, simulations, and educational activities.
  • Coordinate room setups to meet specific programme and training requirements.
  • Maintain training facilities, storage areas, and equipment inventory in a clean, organised, and operationally ready state.
  • Support logistics coordination for training programmes, workshops, and events.
  • Partner housekeeping, facilities management, and maintenance teams to promptly resolve facility-related issues.

Support Surgical Skills Training

  • Prepare, handle, and manage biological specimens required for surgical skills workshops and training activities.
  • Ensure proper storage, handling, and transportation practices in accordance with institutional guidelines and safety requirements.
  • Monitor and maintain storage facilities, including freezers and refrigeration units, to ensure specimen integrity and usability.
  • Support workshop setup and operational readiness for surgical skills training sessions.

Manage Inventory & Resource Readiness

  • Maintain inventory records and storage conditions for training equipment, consumables, and educational resources.
  • Monitor stock levels and coordinate replenishment of training materials and consumables.
  • Track utilisation and movement of simulation equipment to support operational planning and resource optimisation.
  • Support procurement and asset management processes where required.

Support Departmental Projects & Initiatives

  • Provide operational and administrative support for departmental projects and initiatives.
  • Collaborate with internal and external stakeholders to facilitate project implementation.
  • Partner the broader People & Organisation Development team on cross-functional and organisation-wide projects as assigned.
  • Undertake additional duties and responsibilities as assigned by the supervisor.

What You Bring

Qualifications & Experience

  • Diploma qualification in a relevant discipline.
  • Minimum 2 to 3 years of relevant working experience, preferably in a healthcare or training environment.
  • Experience in simulation centre operations, healthcare education support, or healthcare facilities management is advantageous.
  • Experience handling biological or cadaveric specimens and/or simulation equipment will be highly regarded.
