Why This Role Matters

Strong union engagement and effective industrial relations are essential to fostering a positive employee experience and a collaborative workplace culture. This role supports the day‑to‑day operations of the Healthcare Services Employees’ Union (HSEU) within Woodlands Hospital and plays an important part in strengthening engagement, communication, and support for union members.

As the designated liaison for union‑related matters, you will work closely with the WH HSEU Branch officials and HSEU Headquarters to ensure smooth administration, effective engagement, and timely support for members. This role is well suited for individuals who are organised, approachable, and motivated by people‑centred work in a fast‑paced environment.

 

What You Will Drive

1. Union Activities, Campaigns & Engagement

    • Support dialogues and engagement sessions organised by the WH HSEU Branch officials.
    • Organise and support membership roadshows to promote union membership and strengthen engagement with members.
    • Assist in coordinating local and overseas trips together with HSEU HQ and WH Branch officials as required.
    • Administer the sale of subsidised vouchers and tickets to members.
    • Maintain regular online engagement with members by posting updates on HSEU and WH events and programmes via social media platforms and union notice boards.
    • Undertake ad‑hoc duties assigned in support of union activities and engagements.

2. Membership Administration

    • Promote and process new membership sign‑ups, membership conversion, updates to member particulars, and recruitment of new members (target: at least two new members per month).
    • Track and document trends related to membership termination and ensure accurate records are maintained.
    • Engage and support members intending to terminate their membership, including follow‑up and recovery of arrears.
    • Attend to phone enquiries and walk‑in members.
    • Ensure proper handling of cash and electronic payments in accordance with WH and HSEU finance requirements.
    • Verify accuracy of membership fee payment details and follow up with members on any related issues.
    • Maintain training records for branch committee members and encourage completion of required training.

3. Events & Administrative Support

    • Provide administrative and logistical support for HSEU and NTUC meetings, events, and training programmes (e.g. annual Bursary Awards).
    • Support WH and HSEU corporate events and activities, including orientation sessions.
    • Assist with event planning, procurement, design of EDMs, online registration management, and general event coordination.

4. Grievance Case Support

    • Attend to grievance cases and enquiries from members.
    • Assist in coordinating grievance meetings, including room bookings, calendar invitations, and reminders to members and stakeholders.
    • Track and maintain records of industrial relations cases from initiation to closure, including categorisation and updates.

5. Membership Welfare Administration

    • Provide administrative support for NTUC and HSEU welfare programmes.
    • Process NTUC GIFT Insurance claims.
    • Support applications for NTUC U Care programmes, including e‑vouchers and special assistance schemes.

 

6. General Responsibilities

    • Uphold the image and reputation of HSEU and Woodlands Hospital in all interactions with members and the public.
    • Perform other duties as assigned by the Reporting Officer to support union and organisational objectives.

What You Bring

Education & Experience

    • Diploma in any discipline with at least 2 years of working experience in administrative or coordination roles.
    • Good command of English, both written and spoken.
    • Proficient in PC applications, particularly Microsoft Office and Canva.

  • This is a 1-year contract, part-time position with 21 hours per week, spead across 5 working days, subject to operational requirements of HSEU and Woodlands Hospital.
