HEAL (Health Empowered by AI Launchpad) is NHG’s flagship programme to drive the safe, impactful, and system-wide adoption of Artificial Intelligence in healthcare. Hosted under the Digital Innovation Office (DIO) within the Centre for Healthcare Innovation (CHI), HEAL supports AI initiatives that enhance care delivery, optimise operations, and empower our workforce.

The DIO acts as the enabler and integrator, connecting strategy, delivery, and governance to accelerate innovation across NHG. We operate with startup energy and public service purpose.


The Role

We’re looking for an Executive Assistant, HEAL Operations (DIO), a reliable and organised team member who supports the day‑to‑day operations of the HEAL programme. This role focuses on administrative coordination, secretariat support, and operational assistance to help the team run smoothly.

You will provide administrative and operational support to the HEAL team, helping to ensure the smooth delivery of AI and digital initiatives. Working closely with project leads and stakeholders, you will support daily operations, coordination activities, and team logistics in a fast‑paced, evolving environment.


What You’ll Do

  • Support day‑to‑day administrative tasks, including onboarding coordination, calendar management, meeting scheduling, and appointment arrangements.
  • Coordinate logistics for meetings, workshops, training sessions, and engagement events (e.g. venues, materials, attendance tracking).
  • Prepare and update simple presentations, reports, trackers, and meeting documentation; assist with data entry and basic records management.
  • Assist with administrative claims processing, including submission, tracking, and follow‑up in accordance with organisational guidelines.
  • Provide general administrative support and carry out other duties as assigned by the supervisor.

Who We’re Looking For

  • Minimum Diploma or GCE ‘A’ Levels, with at least 3 years of relevant administrative, executive, or operations support experience preferred
  • Good communication and interpersonal skills, with the ability to work effectively with stakeholders across different levels of the organisation
  • Meticulous, dependable, and service‑oriented team player with strong attention to detail
  • Strong organisational and time‑management skills, with the ability to prioritise competing demands and work within established timelines
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Comfortable handling and navigating multiple hospital, government, or enterprise systems
  • Able to manage administrative processes such as documentation, claims submission and tracking, in accordance with organisational policies and procedures, and meet deadlines in a dynamic work environment
